Position Overview: The Events Executive works closely with the department manager/GM and assists in leading the team and overseeing the requests and files from incentive houses, travel agency and corporate customers worldwide when organising MICE arrangements for their staff or clients. The Events department handles every aspect of the file including sales and reservations and ensuring that it is successfully operated. The Events Executive is a very important person within our organisation as they are a key contact person for our worldwide partners and help to ensure that all of our services are delivered as promised and agreed. Responsibilities: • Preparing and checking MICE programs and quotations for incentive houses, travel agency and corporate customers from around the world. • Assisting the Events Manager to manage the department effectively and efficiently, deputizing for the department manager when absent. • Helping to ensure that every inspection trip and incentive tour organized by EXO Travel runs smoothly and with 100% satisfaction from the client. • Corresponding with and advising clients and EXO sales offices on incentive travel activities. • Meeting& greeting and conducting inspection tours with clients when required. • Working closely with the Operations department on all aspects of MICE business including; briefing, planning, supervision and delivery. • Working with the Marketing department on updating marketing tools for incentive travel • Managing events when clients are in-house including liaising with tour leaders, guides and on-site personnel, attending and setting up of events and pre-inspection and quality control. • From time to time attending PR and trade shows and events to support the marketing department in promoting EXO Travel. • Assisting in the creation and development of new EXO products and experiences for the incentive travel market. • Assisting in research, contact and sales activity to prospective clients. • Negotiating with suppliers in order to achieve the most competitive program for our clients, while maintaining high levels of profitability. • Updating and improving our product database to increase efficiency and maximizing our staff resources. • Ensuring that all bookings are correctly entered into the Tourplan booking management system in a timely and accurate manner. • Reporting on all of the above activities to the Events Manager • Understand EXO Responsible Travel policy, Wildlife Code of Conduct, ChildSafe policy and Ethical code • Provide literature and information to clients concerning local, interstate and international tours, travel routes, accommodation, local customs, fares and travel regulations, Tips for Responsible Travels • Discuss with clients about their requirements and advise the suitable options integrate informed choice of responsible activities and suppliers in tours • Inform clients about our best practices available (refillable bottles, etc) and offer them to join us
